Title:Executive Administrative Assistant
Description:Summary Description:
Responsible for providing personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to executive’s working life and communication.

Supervision Received: Reports directly to the Administrative Director.

Pay: $20.00 - $25.00/hour

Responsibilities:
1. Act as the point of contact between the executives and internal/external clients.
2. Undertake the tasks of receiving calls, take messages and routing correspondence.
3. Handle requests and queries appropriately.
4. Maintain diary, arrange meetings and appointments, and provide reminders.
5. Make travel arrangements.
6. Take dictation and minutes and accurately enter data.
7. Monitor office supplies and research advantageous deals or suppliers.
8. Produce reports, presentations, and briefs.
9. Develop and carry out an efficient documentation and filing system.

Skills:
1. Proven experience as an executive administrative assistant, senior executive. assistant or in other secretarial position.
2. Full comprehension of office management systems and procedures.
3. Excellent knowledge of MS Office.
4. Proficiency in English.
5. Exemplary planning and time management skills.
6. Up-to-date with advancements in office gadgets and applications.
7. Ability to multitask and prioritize daily workload.
8. High level verbal and written communications skills.
9. Discretion and confidentiality.
10. High School degree; additional qualification as personal assistant would be considered an advantage.

Qualifications:
1. Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position.

Knowledge, Skills and Abilities:
1. Knowledge of computer systems, social media, and organizational structure.
2. Knowledge of organizational behavior competencies.
3. Ability to communicate effectively verbally and in writing.
4. Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position.

Working Conditions:
1. Subject to varying situations including ability to understand and respond appropriately, effectively and sensitively to special population groups, including those defined by race, ethnicity, language, age, sex, sexual orientation, economic standing, etc.
2. Frequent contact with a variety of people including prisoners and people with mental, emotional and physical disabilities.
3. Medical office, exam room, laboratory, radiology, emergency room and professional practice settings. Frequent exposure to communicable diseases and other conditions common to rural clinic environments.
4. May require working long hours in an office environment at a computer and possibly answering high volumes of phone calls. Requires ability to handle customer or employee complaints in a professional manner.
5. May require travel between District sites.

Physical Demands:
Varied activities including moving, reaching, bending, and lifting. Requires full range of body motion including handling, moving, positioning, and transporting patients. Also requires manual and finger dexterity, and eye-hand coordination. Requires standing and moving for extensive periods of time. Occasionally moves and transports items weighing up to 50 pounds without assistance. Requires corrected vision and hearing to normal range. This position frequently requires working under stressful conditions and irregular hours. Year-round highway travel between clinics and other facilities throughout the district is required.
